Information we collect
Contact & account details — your name, email, phone, date of birth, and emergency contact, collected when you register, book a class, or join our mailing list.
Health & injury information — as part of our registration and liability waiver, we ask about injuries, pregnancy, and relevant medical conditions so instructors can adapt classes safely. This is treated as "sensitive information" under the Privacy Act, and we only collect it with your explicit consent at sign-up.
Booking & attendance history — classes booked, attended, cancelled, or missed, plus membership, class pass, and waitlist activity.
Payment information — processed securely by Stripe. We never see or store your full card number; we keep only transaction records (amount, date, last 4 digits) for receipts and reconciliation.
Marketing preferences — whether you've opted in to email or SMS updates, and your unsubscribe status.
Website & app usage — pages viewed and device/browser type, collected automatically via cookies and similar technologies, including the Meta (Facebook) Pixel described in section 5.
How we use it
- deliver and manage bookings, memberships, and class passes;
- keep classes safe by giving instructors relevant health context;
- process payments and issue receipts;
- send booking confirmations, reminders, and waitlist updates;
- send marketing communications, only where you've opted in — you can unsubscribe at any time;
- improve our website, app, and studio experience;
- measure and target our advertising, including Facebook and Instagram ads.
Who we share it with
We don't sell personal information. We share it only where needed to run the studio:
- Stripe, for payment processing;
- Meta Platforms (Facebook/Instagram), for advertising and analytics via the Meta Pixel — see section 5;
- Email/SMS delivery providers, for confirmations and the marketing you've opted into;
- Our website and booking-app hosting provider;
- Regulators or authorities, where required by law.
Each provider only receives the information it needs to perform its function.
Sensitive information & health data
Injury and pregnancy information is collected only with your explicit consent during registration, used only to inform safe class programming by our instructors, and is never used for marketing or shared beyond what's needed to run your class safely. You can update or withdraw this information at any time by emailing studio@diadempilates.com.
Cookies & the Meta Pixel
Our website uses cookies and the Meta Pixel to understand how visitors use the site and to measure and personalise our Facebook and Instagram advertising, including retargeting people who've visited diadempilates.com. The Pixel shares limited data (such as pages visited and conversion events, e.g. an Intro Offer signup) with Meta; Meta's use of that data is governed by their own Data Policy. You can opt out of ad personalisation in your Facebook/Instagram settings, and control cookies generally through your browser settings.
Storage & security
We store personal information with reputable Australian and international providers and use reasonable technical and organisational measures — including encryption in transit and access controls — to protect it against loss, misuse, or unauthorised access. No online system is completely secure, but we take this seriously and review our practices as the studio grows.
How long we keep it
We keep booking, membership, and payment records for as long as needed for studio operations and Australian tax and record-keeping obligations (generally seven years for financial records). Health and waiver information is kept for as long as you remain an active client, plus a reasonable period after, unless you ask us to delete it sooner and we're not required to retain it by law.
Access, correction & complaints
You can ask us to access, correct, or delete your personal information at any time by emailing studio@diadempilates.com. If you're unhappy with how we've handled your information, please contact us first so we can put it right. You can also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Children
Diadem Pilates classes are designed for adults. If a minor wishes to attend, we require registration and consent from a parent or guardian, who is responsible for the accuracy of the information provided.
Changes to this policy
We may update this policy as our studio, website, and booking app evolve. The effective date at the top shows when it was last updated; significant changes will be flagged on our website.
